GWINNETT GRIZZLY BEAR ASSOCIATION OF NURSING STUDENTS

ARTICLE I: NAME OF ORGANIZATION

The name of this organization is Gwinnett Grizzly Bear Association of Nursing Students. This organization will utilize the acronym GGBANS in all publicity materials and correspondence. Gwinnett Grizzly Bear Association of Nursing Students is affiliated with National Student Nurses’ Association (NSNA) operating in Brooklyn, NY. The website of NSNA is www.nsna.org. Gwinnett Grizzly Bear Association of Nursing Students is also associated with Georgia Association of Nursing Students (GANS) operating in Atlanta, GA. The website of GANS is www.ganursingstudents.org.

ARTICLE II: MISSION STATEMENT

The purpose of Gwinnett Grizzly Bear Association of Nursing Students is to improve personal, intellectual, and professional growth throughout the nursing student body at Georgia Gwinnett College.

ARTICLE III: COMPLIANCE STATEMENT

Upon approval by the Council on Student Organizations and the Office of Student Involvement, Gwinnett Grizzly Bear Association of Nursing Students shall be a registered student organization at the Georgia Gwinnett College. Gwinnett Grizzly Bear Association of Nursing Students shall comply with all local, state and federal laws, as well as all Georgia Gwinnett College student handbook, Board of Regents (BOR) Policies and procedures. Such compliance includes but is not limited to the college’s regulations related to Non- Discrimination, Hazing, and Student Leader Eligibility.

ARTICLE IV: MEASURABLE GOALS

This organization has established five measureable outcome goals related to the mission statement, which will guide the programs events, and activities. These goals must be assessed and will be used by the Office of Student Involvement during student activity fee funding requests. The following goals to guide the organizations events and activities

1.    GGBANS will sponsor an educational event for GGC pre-nursing and nursing students

2.    Send two or more board members to State Convention each year

3.    GGBANS will start a mentoring program for incoming pre-nursing students at Georgia Gwinnett College

4.    Sponsor two community service projects each year.

5.    Have an informational nursing tent or table at student events on campus for interested students.

ARTICLE V: NON-DISCRIMINATION

Gwinnett Grizzly Bear Association of Nursing Students will not discriminate on the basis of race, color, creed, religion, national origin, sex, age, or disability.

ARTICLE VI: NON-HAZING

Hazing will not be used as a condition of membership in this organization. For a definition of hazing, please see the GGC student handbook.

ARTICLE VII: MEMBERSHIP STATEMENT

Membership in this organization is open to enrolled students at Georgia Gwinnett College. Non-students, spouses, faculty, and staff may be associate members; however, they may not vote or hold office. All members and associate members are free to leave and disassociate without fear of retribution, retaliation, or harassment 

ARTICLE VIII: OFFICERS

Section A: The elected officers of Gwinnett Grizzly Bear Association of Nursing Students shall be President, First and Second Vice President, Treasurer, and Secretary. The GGBANS Bylaws also allow for elected committee chairs/directors - which include a Publications Director, Nominations and Elections Director, Membership Director, Legislative Director, Breakthrough to Nursing Director, Community Health Director, and Fundraising Chair. The duties of the President, First and Second Vice President, Treasurer, and Secretary are described in this passage.

Section B: Requirements

  1. Must be a junior or senior nursing student and active member of GGBANS.

  2. In order to be eligible for office of President, one must be an active member and participate in organizational activities for at least one semester.

  3. To be eligible for office, a GGBANS member must be in good academic standing.

  4. The impeachment of any officer must be agreed upon by a 2/3 majority vote by active members, or by the vote of 90% of those present and voting.

  5. Must not miss more than three board meetings while appointed.

  6. Must finish term even if graduated (position lasts for a calendar year).  

 

Part One: President
  1. To preside over all executive council and general meetings.

  2. Collaborate with the Treasurer to manage GGBANS’ finances.

  3. Attend GANS Council of Student Presidents in name of his/her organization.

  4. Act in conjunction with other officers and members to promote GGBANS activities and fellowship.

  5. Call all elections: general and special. 

  6. Provide a monthly written and oral report to Executive Board members at board meetings. If the Board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting. 

  7. Appoint special committees with approval of the Executive Board.

  8. Represent this organization in all professional and student matters.

  9. Prepare a written agenda for each executive council meeting, and to plan committee meeting time.

  10. Coordinate the annual GANS Chapter of the Year Award Submission with assistance from the First Vice President. 

  11.  Ensure constituency at GANS and NSNA conventions.

  12. Coordinate delegates for GANS and NSNA. 

  13. Serve as ex-officio member of all committees, except for nominations and elections

  14. Decide whether or not an active member is allowed to participate in event if such member is in academic probation at the time.

  15. Provide a monthly written and oral report to Executive Board members at board meetings. If the board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting.

  16. Will not miss more than three board meetings while appointed. 

  17. At the beginning of every fall semester, register GGBANS as a Registered Student Organization (RSO) through Student Involvement. 

  18. Attend yearly RSO Officer Training. 

  19. Assist other board members with duties as needed. 

Part 2: First Vice President
  1. Assume the duties of the President in the absence or disability of the President.

  2. Accede to the office of the President in the case of a vacancy in the office.

  3. Plan events at General Body meetings; not limited to finding speakers, and creating PowerPoint presentations. 

  4. Provide a monthly written and oral report to Executive Board members at board meetings. If the Board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting. 

  5. Assign NSNA and GANS awards, editing as necessary with assistance from the President. 

  6. Will not miss more than three board meetings while appointed. 

  7. Attends RSO Officer Training in the fall.

  8. Perform other duties as assigned by the President.

Part 2: Second Vice President
  1. Provide a monthly written and oral report to Executive Board members at board meetings. If the Board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting. 

  2. Keep an updated e-mail list of nursing and pre-nursing students.

  3. Send letter of introduction and to set up introductory meeting with all new and returning students.

  4. Will not miss more than three board meetings while appointed. 

  5. Send out e-mails to nursing and pre-nursing students about GGBANS activities.

  6. Perform other duties as assigned by the President. 

Part 4: Treasurer
  1. To act as custodian of the organization’s funds and see that a detailed annual financial report (i.e. previous year and year-to-date) be prepared and presented in writing to all constituent associations at the annual convention.

  2. Monitor funds and inform the Executive Board of allocated funds and expenditures as related to the budget at monthly board meetings.

  3. Submit a proposed budget for the upcoming fiscal year to the members at the first board meeting.

  4. Account for all monies raised for fundraising and/or charitable purposes.

  5. Coordinate and submit the annual GANS Financial Excellence Award.

  6. Submit a proposed budget for the upcoming fiscal year to the members at the annual meeting.

  7. Attends RSO Officer Training in the fall. 

  8. Attends Treasurer certification course at NSNA or assigns to President (in the event that they cannot attend). 

  9. Will not miss more than three board meetings while appointed. 

  10. Provide a monthly written and oral report to Executive Board members at board meetings. If the Board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting. 

  11. Sends in budget requests to Office of Student Involvement for semester funding. 

  12. If absent at board meeting, will provide Secretary with written monthly report.

  13. Perform other duties as assigned by President.

Part 5: Secretary
  1. Record meeting minutes at every board meeting, and send out to board members after meeting. 

  2. Keep a running count of all GGBANS points (for community and school service activities, or other opportunities as identified by the GGBANS Board of Directors) earned by GGBANS members, and provide this information when requested by individual members. Report points earned to the board as necessary to give awards earned, or for graduation/pinning purposes.

  3. Order cords for graduating seniors after giving budget request to Treasurer 30 days prior to purchasing. 

  4. Obtain and provide up-to-date contact information of Executive Board members.

  5. Be responsible for upkeep and maintenance of GGBANS archives including passwords to GGBANS e-mail accounts.

  6. Will not miss more than three board meetings while appointed. 

  7. Provide a monthly written and oral report to Executive Board members at board meetings. If the board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting.

  8. Perform other duties as assigned by President. 

Part 6: Legislative Director

1.    To stay informed concerning legislation in Georgia affecting nursing and nursing students.

2.    Submit resolutions from GGBANS to the House of Delegates at the annual convention.

3.    Write legislative updates for the GGBANS newsletter whenever applicable.

4.    Coordinate and submit the annual GANS Political Involvement Award.

5.    Be responsible for review and recommendation for change in the By-laws.

6.    Provide a monthly written and oral report to Executive Board members at board meetings. If the board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting.

7.    Will not miss more than three board meetings while appointed. 

8.    Perform other duties as assigned by the President.

Part 7: Breakthrough to Nursing Director
  1. To submit Break Through to Nursing (BTN) project plans for the year to the Executive Board by the third month in office and keep the Executive Board informed of the goals and progress of the projects.

  2. Work with GGC recruiting office to facilitate nursing school recruitment opportunities for GGBANS, as applicable.

  3. Write a BTN update article for GGBANS newsletter, as applicable.

  4. Schedule visits and/or presentations to nursing school orientation meetings, to the incoming junior class members, or new incoming students.

  5. Coordinate and submit the annual GANS and NSNA Breakthrough to Nursing Award and Image of Nursing Award submissions, if the chapter has done applicable projects.

  6. Coordinate with the Community Health Director if the chapter community health projects are amenable to participation by pre-nursing students or other populations identified as breakthrough to nursing candidate groups.

  7. Provide a monthly written and oral report to Executive Board members at board meetings. If the board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting.

  8. Will not miss more than three board meetings while appointed. 

  9. Perform other duties as assigned by the President.

Part 8: Community Health Director
  1. To submit Community Health project plans to the Executive Board by the third month in office and keep the Executive Board informed of the goals and progress of the projects.

  2. Keep the Executive Board apprised of the volunteer needs, supply needs, and logistical issues as the projects progress, distributing and updating timelines as necessary to ensure project completion.

  3. Work to develop or participate in statewide, national, or international community service projects.

  4. Coordinate and submit the annual GANS Community Health Award.

  5. Will submit updates to monthly newsletter if applicable. 

  6. Provide monthly oral and written report to Executive Board members at board meetings. If the board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting.

  7. Will not miss more than three board meetings while appointed.

  8. Perform other duties as assigned by the President.

 

Part 9: Publications Director
  1. Update and maintain the GGBANS website on a monthly basis. 

  2. Will write and send out a monthly newsletter.

  3. Will maintain and post regularly on Facebook and Instagram social media pages.

  4. Will apply for NSNA and GANS “Best Website” and “Social Media” award(s). 

  5. Will update bulletin board (in Skills Lab) as necessary, including headshots of the new board after elections. 

  6. Provide a monthly written report to Executive Board members at board meetings. If the board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting.

  7. Will not miss more than three board meetings while appointed. 

  8. Perform other duties assigned by the President

Part 10: Fundraising Chair
  1. To identify, design, and coordinate fundraising opportunities for GGBANS.

  2. Present Executive Board with options for fundraising, including t-shirt designs or other merchandise designs, as applicable.

  3. Negotiate pricing and supply deadlines with GGC approved vendors of GGBANS fundraising products.

  4. Assist the community director with charitable projects that require the purchase of supplies or event t-shirts or products, either for consumption or for sale.

  5. Report all monetary proceeds to Treasurer and work closely with the Treasurer to account for fundraising profits.

  6. Be in charge of fundraising scheduling and table purchase at the annual GANS convention and at the annual NSNA convention, and at other scheduled opportunities, as available.

  7. Send a budget request to Treasurer 30 days prior to needing funds. 

  8. Provide a monthly written and oral report to Executive Board members at board meetings. If the board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting.

  9. Will not miss more than three board meetings while appointed. 

  10. Perform other duties as assigned by the President.

Part 11: Nominations and Elections Director
  1. Will hold class representative elections every semester for the new nursing cohort and supply the ballot. 

  2. Will conduct board elections every fall and supply the ballot. 

  3. Will advertise elections and answer questions as necessary for students interested in running for office. 

  4. Provide a monthly written report to Executive Board members at board meetings. If the board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting.

  5. Will not miss more than three board meetings while appointed. 

  6. Perform other duties assigned by the President

 Part 12: Membership Involvement Director
  1. Will apply for a table at Green Scene every semester to advertise GGBANS. 

  2. Will coordinate Senior Sendoff every semester. 

  3. Will give Treasurer budget request(s) 30 days prior to purchasing supplies for Green Scene and Senior Sendoff. 

  4. If graduating senior, will coordinate volunteers to plan Senior Sendoff and overlook operations to ensure proper development. 

  5. Provide a monthly written report to Executive Board members at board meetings. If the board member is planning on being absent, an emailed board report will need to be sent from that board member to the President and Secretary prior to the board meeting.

  6. Will not miss more than three board meetings while appointed. 

  7. Perform other duties assigned by the President.

Section A: GGBANS does not have any appointed officers 

Section B: Nominations for all officers will take place annually from the members at the last general meeting in October. Any member may nominate any other voting member, including himself or herself. Nominations may also be made during the election meeting prior to closing of nominations. Voting will occur by secret ballot and a simple majority vote is required to elect an officer. If there are more than two candidates running and no candidate receives a majority vote, there shall be a run-off vote between the top two recipients at the next general meeting. No person shall be eligible to serve more than two consecutive terms in the same office.

Section C:Vacancies

1.     Any vacancy shall be filled by simple majority vote of active members at a special election held within one month of vacancy. This election may be held by email, if necessary. Exception to be taken in the case of a vacancy in the office of the President which shall be filled by Vice President, upon the vote of the Executive Board.

2.    In the case of vacancy of an office, all materials of office are to be turned in to the President within 30 days from the Executive Board meeting at which the office was declared vacant.

Section D: Any member found to be unprofessional and guilty of disciplinary actions shall be expelled from organization upon unanimous vote of executive council and/or request of faculty.

Section E:If any cohort of GGC Nursing Students is not represented by at least one board member from their cohort, then a liaison student from the non-represented cohort shall be appointed to the Executive Board as a non-voting member. Liaison members shall have full right to participate in discussion at Executive Board meetings. And shall offer the concerns and perspective of the cohort they represent. Cohorts shall be defined by the semester they started nursing school (i.e. Cohort Fall 2014). Liaison shall be responsible for helping distribute and disseminate GGBANS information to their cohort.

ARTICLE IX: ELECTIONS

  1. Nominations for all officers will take place annually from the members at the last general meeting in October. Any member may nominate any other voting member, including himself or herself. Nominations may also be made during the election meeting prior to closing of nominations

  2. Voting will occur by secret ballot and a simple majority vote is required to elect an officer. If there are more than two candidates running and no candidate receives a majority vote, there shall be a run-off vote between the top two recipients at the next general meeting. No person shall be eligible to serve more than two consecutive terms in the same office.

  3. Only an individual whose interests, views, and knowledge align with our organization’s purposes will be eligible to run for office, as specified in our By-Laws.

  4. New officers will assume their duty following the completion of the hand over meeting from the previous board officers.

  5. The Hand over meeting will occur after elections are completed and will be held at the last board meeting of the semester.

ARTICLE X: FACULTY/STAFF ADVISOR

The faculty/staff advisor shall serve as a resource person and provides advisory support for the officers and members of GGBANS. The faculty/staff advisor should attend executive meetings and special events. The faculty/staff advisor may not vote in any GGBANS matter. The Dean of the School of Health Sciences appoints the faculty/staff advisor. The term of service is a minimum of two years.

ARTICLE XI: QUORUM

A quorum shall consist of 50% of the total membership +1 and must be present to conduct business.

ARTICLE XII: FINANCE

GGBANS is a free-to-join organization. 

ARTICLE XIII: DISSOLUTION OF ORGANIZATION

In the event this organization dissolves, all monies left in the treasury, after outstanding debts and claims have been paid, shall be donated to the American Cancer Society.

ARTICLE (FINAL ARTICLE) AMENDMENTS TO CONSTITUTION

Proposals may be brought to the Legislative Director or the President for presentation at the next Executive Board meeting. Proposal must read aloud by proposal recipient and discussed by Executive Board members. Majority vote is necessary for proposals) to be presented to general members. Proposals must be voted on at the next general meeting.[1]
